At Genç Dental we take the privacy of your personal data seriously. This Privacy Policy explains which data we collect when you visit our website, fill in our forms or contact us via WhatsApp or social media, how we use that data and what rights you have.

1. Data controller and scope

This policy covers the website published under the gencdental.com domain and all of its language sub-directories (the “Site”), together with the contact and appointment channels offered through it. The Site is operated by MAFG Ağız ve Diş Sağlığı Hizmetleri Limited Şirketi (“Genç Dental”, the “Clinic”, “we”), located at Site Mah. Cevahir Cad. No:13/A, Ümraniye, Istanbul, Türkiye. Genç Dental is the data controller under the Turkish Personal Data Protection Law No. 6698 (“KVKK”). For visitors from the European Economic Area and the United Kingdom, the General Data Protection Regulation (“GDPR”) is also observed.

A separate policy for the Genç Dental mobile application is published on the App Privacy Policy page. This page concerns the website, our social media accounts and advertising channels.

2. Which personal data do we collect?

Depending on how you interact with us, we may process the following data:

Contact and appointment forms: full name, phone number, email address, city or country, the page the form was sent from and the content of your message.
WhatsApp and phone calls: your phone number, the content of the conversation and any photos you send us.
Health information: complaints, treatment history, X-rays and intra-oral photos you share during an appointment request or preliminary assessment. This is special category data and is processed only with your explicit consent.
Automatically collected technical data: IP address, browser and device type, operating system, pages visited, time spent and referring source.
Cookie and pixel data: the cookies and measurement identifiers described in section 5.
Social media interactions: when you message us on Facebook, Instagram or WhatsApp, or complete a form in one of our ads, the name, phone number, email address and form answers that Meta passes on to us.

3. What do we use your data for?

Receiving appointment requests, contacting you and carrying out a preliminary assessment.
Preparing a treatment plan and a quote.
Coordinating travel, accommodation and transfers for patients coming from abroad.
Operating the Site, keeping it secure and fixing technical errors.
Analysing Site traffic to improve content and user experience.
With your consent, showing interest-based ads on Google and Meta platforms and measuring their performance.
Complying with our legal obligations and defending our rights in the event of a dispute.

4. Legal basis for processing

We process your personal data under Articles 5 and 6 of KVKK and Articles 6 and 9 of the GDPR on the following grounds:

Performance of a contract: appointments, treatment planning and treatment.
Explicit consent: health data, marketing and advertising cookies, transfers of data abroad.
Legitimate interest: Site security, basic statistics and fraud prevention.
Legal obligation: record keeping required by health and tax legislation.

You may withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing carried out before that date.

5. Cookies and tracking technologies

The Site uses the tools listed below. Tools other than strictly necessary cookies run only after you give consent through your cookie preferences.

Strictly necessary cookies: session, language preference, caching and form security cookies. The Site does not work properly without them.
Google Tag Manager and Google Analytics: visit statistics, page views and traffic sources. Data is processed on servers of Google LLC (USA). Details: Google Privacy Policy.
Meta Pixel and Meta Conversions API: used to measure the performance of our Facebook and Instagram ads, to show remarketing ads to Site visitors and to build lookalike audiences. These tools share events such as page views and form submissions, together with browser identifiers, with Meta Platforms Ireland Ltd. Details: Meta Privacy Policy.
WhatsApp chat button: clicking it redirects you to the WhatsApp application. From that point on WhatsApp’s own privacy policy applies.

You can change your cookie preferences and delete existing cookies in your browser settings. You can manage your Meta ad preferences at Meta ad settings and your Google ad preferences at Google ad settings.

6. Data sharing with Meta (Facebook, Instagram, WhatsApp)

When you reach us through our Facebook and Instagram pages, our Meta ad account or our WhatsApp Business account, your data is also processed on Meta’s infrastructure. When you complete a form in a Meta ad (lead form), your answers are passed on to us and used only to contact you and assess your request. We do not sell these answers to third parties and do not transfer them to other platforms for anything other than ad measurement.

We process the data Meta provides to us in line with the Meta Platform Terms. If you would like the data you shared with us via Meta to be deleted, you can contact us through the channels in section 9; your request will be completed within 30 days.

7. Who do we share your data with?

Service providers: web hosting and caching infrastructure, email service, website maintenance and support.
Analytics and advertising platforms: Google (Analytics, Tag Manager, Ads) and Meta (Pixel, Conversions API, ad management).
Treatment partners: dental laboratories, imaging centres and, for international patients, accommodation and transfer providers; only to the extent needed for your treatment.
Authorities: courts and administrative bodies when required by law.

Because some Google and Meta servers are located outside Türkiye, this sharing constitutes an international data transfer and relies on your explicit consent under Article 9 of KVKK. We never sell your personal data.

8. How long do we keep your data?

Form and WhatsApp enquiries: up to 2 years if they do not lead to an appointment.
Patient records and treatment files: for the statutory retention period required by health legislation.
Analytics and advertising data: up to 14 months for Google Analytics and up to 180 days for Meta remarketing audiences.
Financial and contractual records: up to 10 years as required by tax and commercial law.

When the period expires, data is deleted, destroyed or anonymised.

9. Your rights

Under Article 11 of KVKK and the GDPR you have the right to:

Learn whether your personal data is being processed and request information about it.
Learn the purpose of processing and whether the data is used in line with that purpose.
Know the third parties to whom your data has been transferred.
Request the correction of incomplete or inaccurate data.
Request the deletion or destruction of your data.
Request that corrections and deletions be notified to the third parties who received the data.
Object to a result produced against you by automated analysis.
Claim compensation for damage caused by unlawful processing.
Withdraw your consent, request data portability under the GDPR and lodge a complaint with a supervisory authority.

You can send your requests by email to info@gencdental.com or in writing to our clinic address. Requests are answered free of charge within 30 days at the latest. In Türkiye you also have the right to lodge a complaint with the Personal Data Protection Board.

10. Data security

The Site is served over an SSL-encrypted connection. Access to personal data is limited to authorised staff, backups are kept encrypted and our staff are bound by confidentiality obligations. No transmission over the internet can be guaranteed to be fully secure; you may therefore prefer to share health information by phone or in person at the clinic rather than through forms.

11. Children’s privacy

Data of patients under 18 is processed only through a parent or legal guardian. We do not knowingly collect data from Site visitors under 18. If we become aware of such data, we delete it.

12. Third-party links

The Site may contain links to third-party sites such as Google Maps and social media. We are not responsible for the privacy practices of those sites and recommend that you review their policies when you visit them.

13. Changes to this policy

We may update this policy to reflect changes in legislation or in our services. The current version is always published on this page and the date at the top is updated.
